Business identity fraud is on the rise. For businesses registered in Colorado with the Secretary of State, we want to make you aware of how to set up your business for secure business filing. Taking proactive steps now can help safeguard your entity from unauthorized filings and potential fraud. This system adds a layer of login security, ensuring that only authorized users on your account can submit filings for your business.
For a new business:
- After creating your business, select “Set up Secure Business Filing” on the confirmation page.
- Enter your account details and submit.
- You’ll receive a confirmation page and a follow-up email with instructions.
- Add multiple trusted email users to prevent being locked out.
For an existing business (2 steps):
Request a PIN:
- Search for your business by name or ID and access the record.
- Verify the correct record and mailing address.
- Select “Set up Secure Business Filing” and request a PIN.
- The PIN will be mailed to your principal office address.
Create your account:
- Once the PIN arrives, return to the setup page.
- Enter the PIN, complete the account information, and submit.
- You’ll receive a confirmation page and an email with next steps.
- Add multiple trusted users to ensure continued access.
Keep the following key points in mind:
- Account Credentials: Be sure to securely save the email address and password used to create your account. Without them, you will not be able to file documents for your entity.
- User Access: Emails used for general notifications are not automatically granted Secure Business Filing access—you must add users separately.
- Add Trusted Users: To avoid being locked out, we recommend adding multiple trusted parties, such as your registered agent, accountant, and legal counsel. You may also consider adding a secondary email for yourself.
- User Management: Once established, any authorized user can add or remove other users as needed.
- Update Information Promptly: If your email address changes, you must log in and update your account details to maintain access.
- PIN Security: Request only one PIN for your records. It will be mailed to your principal office address, so please ensure your address is current. Delivery may take a week or longer due to state processing.
